KARE: Launching and scaling a high-volume healthcare staffing platform

KARE partnered with Whale Song to design, build, and evolve a healthcare staffing platform that connects caregivers with senior care communities.

Over four years, Whale Song delivered the MVP, scaled the infrastructure, improved system performance, and guided a full handover to KARE’s internal team—ensuring long-term stability and growth.

Industry: Healthcare
Engagement Type: Custom software development

About KARE

KARE connects caregivers, nurses, and healthcare staff with senior care communities and nursing homes. Healthcare professionals can pick up open shifts with flexibility and immediate payment upon completion, while facilities gain access to qualified staff to address staffing gaps efficiently.

The challenge

KARE needed to go from concept to a working platform quickly — and then keep it stable and scalable as adoption and complexity increased.

Over time, priorities expanded beyond MVP build to include:

  • Sustaining platform stability under growing usage

  • Improving performance and scalability without disruption

  • Protecting reliability of financial functions (RTP payouts)

  • Enabling a structured transition to an internal product team

Our approach

  • Whale Song built the platform from scratch, launched the MVP, then continued monthly deployments for continuous improvement.

  • Whale Song implemented infrastructure upgrades (cache clusters, database replicas, modular architecture adjustments) to maintain performance at scale.

  • We identified and resolved RTP payout issues and established protocols to reduce recurrence.

  • Whale Song helped establish a robust UAT environment and stronger testing protocols to mitigate production risk.

  • Whale Song implemented APM and analytics for real-time visibility into platform usage and system health.

  • Whale Song supported KARE’s insourcing plan through structured knowledge transfer sessions and thorough documentation.

    • MVP built from scratch and launched in ~6 months

    • Ongoing monthly iterative deployments post-launch

    • Infrastructure upgrades to reduce database load and improve response times

    • RTP payout reliability improvements and prevention protocols

    • UAT/testing protocols to reduce production risk

    • APM + analytics for real-time monitoring and insights

    • Structured internal transition with documentation and guided sessions

With KARE, our focus was to deliver quickly at the start and then keep the platform stable as the business scaled. We launched the MVP in ~6 months and continued shipping monthly improvements while strengthening infrastructure, performance, and financial reliability. As KARE transitioned to an internal team, we supported a structured handover with thorough documentation and knowledge transfer to ensure long-term continuity.
